Loan Assistant

The Loan Assistant is primarily responsible for supporting the lending department with administrative tasks, customer communication, document collection, scheduling, and basic loan file preparation.


Essential Functions:

Book loans into core system

Maintain collateral records

Process advances

Quote payoffs and/or prepare Payoff Requests/Letters

Prepare VOMs.

Manage escrow accounts which may include calculating new payments and adjusting for customers’ tax and insurance escrow accounts as well as make payments appropriately (escrow processors and designated loan assistant as backup only)

Perform UCC filings and renewals

Maintain imaging and indexing standards

Support audits and exams

Assist with post-closing tasks

Prepare, process and close secondary market mortgage and other loan files and documents.

Responsible for processing real estate financing within guidelines set by bank policy and growth targets.  This will include communicating with the customer, completing the loan application, and general documents.

Responsible for answering incoming telephone calls for the Loan Department and forwarding when appropriate.

Responsible for shredding paid loan documentation.

Responsible for tracking 1099s for real estate transactions.

Provide loan-processing support for the Loan Department. This will involve underwriting support, accurate documentation preparation and maintenance.

Update ticklers (insurance, financials, UCCs).

Assist customers with file documentation and loan closings.

Process new loans and completes loan worksheets for the Loan Officers, verifying all new loans for accuracy.  Also assist with the processing of loan payments and advances for the Loan Department.

Responsible for monitoring loans in “pending for progress” to “completion” and completing final review.

Conduct the preliminary file review prior to loan closings to ensure all documentation is accurate.

Maintain proficiency with loan documentation/production software.

Understand bank products and services to proactively assist customers with their banking questions.

Provide administrative support to the Loan Officers including typing and proofreading letters and other correspondence as requested.

Must work as a Loan Department team player in the management of overall loan portfolio and staff in general.
