Administrative Assistant
This role is well-suited for someone who enjoys supporting others, values organization and accuracy, and takes pride in providing high-quality administrative and office support in a friendly community bank.
The Administrative Assistant will be primarily responsible for providing diverse administrative and clerical support to the CEO/President, Chief Administrative Officer (CAO) and all Department Heads as assigned or requested. This includes managing day-to-day administrative operations, schedules, communication with internal and external customers and stakeholders, and composes a variety of written communications, including assistance for monthly Board of Director and Administration meetings. The Administrative Assistant is often exposed to sensitive or confidential information during daily operations and confidentiality is extremely important.
Essential Functions:
Greet walk-in customers in a friendly, professional manner, and direct them to the proper department. Have an understanding of bank products and services in order to pro-actively assist customers with their banking questions.
Answer incoming calls on the multi-line system, directing them to the proper department or person, or assisting with quick account transfers or questions as needed.
Provide high level of confidential/administrative support to the CEO/President, CAO, and Department Heads by handling a wide variety of situations involving the clerical and administrative functions of the office and/or department.
Prepare board agenda items, distribute to board of directors, record monthly minutes; update policy changes as approved by board and maintain policy review schedule.
Provide support to CAO for human resources tasks including monthly insurance reconciliation, assigning and tracking training to all departments, and employment policies.
Required Education and Experience
Associate’s degree in administrative, business, accounting, or related field with one to three years of experience in business administration or equivalent combination of education and experience.
Preferred Education and Experience
Bachelor’s degree in accounting, finance, business management, or related field with one to three years of experience in banking, or equivalent combination of education and experience.
Skills & Competencies
- High level of proficiency with Microsoft Office 365, Adobe Acrobat, Adobe Pro, Teams, Windows, internet, and ability to become familiar with department pertinent software for the bank.
- Ability to maintain a high level of discretion and confidentiality.
- High ability to prioritize tasks, work independently, and meet deadlines.
- Ability to work on multiple priorities seamlessly with excellent attention to detail along with a ‘can-do’ attitude.
- Ability to deliver a high level of responsiveness to internal and external customers; respond sensitively to needs and priorities, recognize and take appropriate action to meet needs; establish effective working relationship to gain respect and loyalty.
- Strong and effective written and verbal communication; must be able to communicate throughout the organization and to all levels of staff, with strong interpersonal skills.
